What Is AI Call Transcription? A Guide for UK Businesses

Most business phone systems can record calls, but very few of those recordings ever get listened to. Nobody has time to play back hours of audio to find one conversation. AI call transcription changes that by turning every recorded call into text you can read, search and act on. Here’s how it works, what it’s useful for, and what to look for in a provider.

What Is AI Call Transcription?

AI call transcription uses speech recognition to convert a recorded phone call into written text. Modern systems go further than a plain block of words: they separate who said what, add timestamps, and use AI to summarise the call and pick out the important details, such as names, companies, products and dates.

The result is a readable record of every conversation. Instead of listening to a four-minute call to find out what was agreed, you can read a two-line summary, or search across hundreds of calls for the moment a particular word was said.

How It Works

On a hosted phone system, the process usually runs in the background with nothing for staff to do differently:

  • The call is recorded — exactly as it would be today, using the phone system’s existing call recording.
  • The audio is transcribed — speech recognition converts the recording to text and splits it into turns by speaker, each with a timestamp.
  • AI adds a summary and details — a short summary of what the call was about, plus the people, organisations, products and dates that were mentioned.
  • It’s available alongside the recording — so you can read the transcript, jump to any point in the audio, or search across all your calls.

What Businesses Use It For

  • Customer service — spotting complaints and cancellation requests quickly, and checking what a customer was actually told.
  • Sales and bookings — capturing the dates, call-backs and products agreed on a call so nothing gets missed.
  • Management and training — reviewing calls by reading summaries instead of listening back, and using real conversations to coach new starters.
  • Disputes and compliance — finding the exact moment something was said, and checking that required wording is being used.

Keyword Alerts: Being Told When It Matters

Once calls are transcribed, the phone system can watch for particular words and let the right people know when they come up. This tends to work in two ways:

  • Scheduled alerts — a regular summary (every few hours, daily, weekly or monthly) of every call that mentioned words you’re tracking, such as a competitor’s name or a new offer.
  • End-of-call alerts — an alert holding your priority words, which emails the right team shortly after the call ends, once the transcript is ready. For example, if a customer says “cancel contract”, the cancellations team hears about it the same day, while there’s still time to help.

What to Look For in a Provider

  • Built into the phone system — a separate transcription tool means exporting recordings and managing another service. It’s far simpler when transcripts sit right next to the recordings in the same portal.
  • Speaker separation and timestamps — a transcript is much more useful when you can see who said what, and click straight to that point in the audio.
  • Search by words spoken — being able to search every call for a word or phrase is often the feature that saves the most time.
  • Clear labelling of AI content — speech recognition isn’t perfect. A good system marks transcripts and summaries as AI-generated and keeps the original audio available to check against.
  • Simple, predictable pricing — per-extension pricing is easy to understand and scales with the business, without surprise usage charges.

Things to Consider Before You Start

Transcription works from call recordings, so the same rules that apply to recording calls apply here. Businesses should already be telling callers that calls may be recorded, and should have a clear reason for recording and a sensible retention period. The ICO’s guidance on UK GDPR is a good starting point if you’re unsure what applies to your business.

It’s also worth remembering that AI transcripts can occasionally mishear a word, particularly with strong accents, background noise or poor lines. For anything important, such as a dispute, treat the transcript as a quick way to find the right moment and then listen to the recording itself.
